At Soffit, sales has always been about relationships first. The challenge was not intent, but structure. As the team grew and conversations increased, it became harder to maintain the same level of consistency across every prospect interaction.

Some conversations moved smoothly. Others slowed down. Not because interest wasn't there, but because the system around those conversations wasn't doing enough to support them.

This work began by looking closely at how sales actually happens at Soffit, not how a CRM assumes it should happen.

The problem being addressed

The issue wasn't lead generation. It was continuity.

Leads entered the system, but maintaining momentum across weeks and months depended heavily on individual effort. Follow-ups were easy to miss. Context was spread across tools. And the CRM reflected software logic more than real sales behaviour.

Reworking the sales flow

Sales funnels were redesigned to move beyond lead capture. The focus shifted to supporting ongoing, meaningful conversations over time. Every stage was built to answer one question clearly: what needs to happen next for this relationship.

Zoho CRM was then customised around Soffit's real sales journey. Lead stages, handoffs, and transitions were defined based on how the team works day to day, not on default templates.

How the system supports the team

Follow-ups were built into the system so the right actions trigger at the right time. This reduced dropped conversations without turning sales into a rigid process.

Repetitive tasks like reminders and routine emails were automated. This removed daily friction and freed up time for actual conversations.

All sales activity was centralised. Conversations, follow-ups, opportunities, and history now live in one place, giving the team a clear view of every relationship.

Lead scoring was added to highlight signals that actually indicate buying intent. Leads that weren't ready were nurtured steadily, ensuring engagement continued without pressure or neglect.

Dashboards and reports were redesigned to provide daily visibility. Instead of waiting for month-end reviews, the team can now see pipeline health, conversions, and campaign performance in real time.

What changed as a result

Sales became more predictable without becoming mechanical. Conversations carried forward instead of resetting. The team spent less time chasing and more time engaging.
